First steps
If you are reading this, you are debating or you already decided that you want to start a Nursing Agency/Healthcare Recruitment Agency. It is called in many ways but it is the same thing: you will supply healthcare assistants and nurses to hospitals, care homes, rehabs, etc.
Like with any business, you need:
- A good brand name (we can help you with this)
- Once you have the name, you have to register the company
Once this is sorted then we can move to the next step.
How to purchase the Starter Pack?
We listed our services and prices but the Starter Pack elements can’t be purchased directly from the website. There isn’t a “Pay now” button. There are many reasons for that and we will just mention a few:
- The documents must be branded with your logo, business address and contact details (website, email, phone number)
- A lot of the documents must be tailored to your business model, so we need to have a meeting or a phone call with you first
- We can control the workload as we are a small team
Once you understand what you are buying, then you provide us with a list of the services that you need from the starter pack. We then issue an invoice addressed to the registered business. We don’t sign contracts for small purchases. For a larger project we will sign a contract with you.
Invoices over £1000 can be split in 2 payments. You pay half as a deposit, then we start working on your project. When everything is completed and you are happy with the outcome, then you pay the rest of the money. If you can’t pay large amounts, for whatever reason, then we advise you to buy the Starter Pack in smaller steps, maybe 2-3 elements at the time.
Invoices must be paid by bank transfer. You can use your personal card until you sort out a business bank account. Your accountant can claim these expenses even if you used your personal card.
You will be involved in the project; you will see what we do and your opinion will be asked at every step.
What to expect from each service?
On the website we added bullet points under each service. They can give you a good idea of what to expect but sometimes you have to be quite technical to understand all the terms. In this guide we try to explain it better, in simple terms.
We use templates on a lot of the documents we sell. This means that the important text is already there. We add your business name and we brand them. Sometimes you will have to make changes that suit your business needs. At present the documents are used by over 70 other businesses, without any problems.
Website
A modern website that follows your brand colours. Your website will have:
- Max 10 pages
- Online job application forms
- Contact form
- Staff booking form
- Time sheet download and upload area (you must purchase the time sheet)
- SEO
- Connected to Google Analytics and Search console
- Links to social media (if you buy this or if you have set them up yourself)
- Privacy Policy
- Cookies notification for first time visitors
- You will have to provide some of the text, it is your business, your ideas, your concept; we can help/advise here
- Premium pictures (you will not have copyright issues)
Hosting
Option1. We can help you step by step with buying a website domain (yourbusinessname.co.uk) and a website hosting package. You will have access to these accounts with your email address. You will be able to control everything but long term it is more expensive.
Option 2. Cheaper on the long run. You pay us £85 a year and you don’t have to worry about purchasing the domain name and hosting. We pay for you and we host your website on our server.
Professional Email addresses
When you buy the website package, we give you these for Free. Unlimited email addresses with unlimited storage. We will set the emails up on compatible devices (must have Outlook installed on your laptop or PC). If you bought your hosting with a different company (not the one we usually recommend) then this might not be possible. It all depends on the hosting company. For example, Godaddy don’t offer unlimited emails.
Time sheet
Branded with your logo, beautiful design, client signature, time sheet reference number, instructions for the staff how to use it and where to send it, instructions for the client, total weekly hours, word and PDF format
Staff badge design
You have to consider the fact that the badges can be a big expense for your company. Staff will come and go; they will lose or damage the staff badges. Very quickly you can find yourself in a position where you spent £1000 on badges. We came up with a very cheap solution. We create an account for you on a website. On that website we will design the staff badge for you. All you have to do is to change the Name and Role of the new staff member, download the badge and print it. Once it is printed you will slide it in plastic badge holders. Instead of paying £8 on a badge, you will pay £1.5-£2.0.

Google My Business
A major factor in your business. This service will actually put you on Google Maps and recommend you to potential clients. But this will happen only if it set up correctly. We will verify with Google your business address. Google will send you a code to the address.
We create the account, add the category of business so Google knows when to recommend you in search results. We add the area covered, services provided, opening times, contact details, logo etc.

Job application form
You will receive two actually and you can use the one that suits you better. The job application form is suitable for Nurses or Care assistants/support workers. It has about 11 pages and captures all the information need: profile info, education, work history, references, dbs, declarations, right to work in the UK etc.
Staff Handbook
This document has 50 pages and is usually given with the contract and outlines your “rules” as a business. The staff has to sign on page 2 that their understood your terms and return page to you. You keep this page in their Staff Folder as evidence.
New Client Terms and Conditions
Or the Contract with the Client (Care home, Hospital etc). This document has 4 pages, in small letters, and outline to your client your rules as a company. For example: cancelation policy, after how many days you want to be paid, etc.
Interview forms
You will get 3 interview forms – Registered nurse, care assistants and senior care assistant (medication trained). The interview forms have prompts on the left column to tell you the answers you are looking for. It is based on a scoring system. If the candidate doesn’t score 33 points or above it means that she/he is not suitable.
Reference forms
You will receive a reference request letter in which you are asking the previous employer of your candite to offer you the reference. You have to add the candidates name and role. Then you will receive the actual reference form on which the previous employer has to score the candidate.
Price list
A professional looking form to share with you potential clients. It comes branded (like ay other form). The client will be able to see the rates you charge for Care Assistants and Nurses, during week days/nights, weekends, bank holidays. We will add our recommended rates in your area. You can always change them according to the client and needs. Rates are negotiated in most cases.
Business Plan
It contains background information about the company and directors, market research, the mission and vision of the company, objectives, turnover, expenses, profit/loss forecast for 3 years.
Business Cards
Design, printing and posting. You will get 250 business cards. Before we send them for printing, we will of course double check the design with you. We apply a QR code on them so when someone is scanning your business card with their phone they will be taken to your website.
Short video presentation
It is exactly what it says on the tin. It is a short 4K video advert about your business. We present your brand, your services and contact details. Great to be shared on social media and used as a paid advert. The videos are stock videos which means you have no copy right concerns.
Social media accounts
We will create 2 social media accounts: Facebook and Instagram. They will be linked together and with the website. We make them look professional, we add your logo, cover photo, services, link to your website, contact details, and we post 4 posts for your so the social media page is not blank when visited. It will be your duty to continue managing it further.
Headed letter
Design, print and postage. You get 250 copies. These can be used when sending official letters. Your letter can be printed on these headed letter papers, branded with your logo and with your contact details on.
Invoice template
Accountancy software can be expensive and sometimes are not even needed, especially when you start. You can issue invoices manually for free, and still look professional due to the perfect design.
Initialisation webinar
This is a 2-3 hours meeting with us, one to one coaching. You can invite other people relevant to the business or friends. You can bring your own list of questions but by the time we finished, we are sure we have already answered the majority of them. We teach you how to have a professional image, marketing tips, a list of new skills that you have to learn, how to find clients and how to approach them. At the end we give you a list of vendors which can offer you contracts straight away.
At the end of the meeting, we will give you a score, from 0 to 26. If you score 18 or above, your chances are good. Also, we will send you the notes of the meeting and we will give you a list of homework that you have to do in order to increase your chances as a business.
Policies and Procedures
They include the COVID-19 policies as well. Branded and they will mention your business name in all the policies. We try to tailor them to your business as much as we can but you there are areas where you have to add your specific information. It is the client’s responsibility to add those specific details. For example, the policy will ask you who is the person responsible with GDPR in the company. Everything is done online via our online platform: www.e-carehub.co.uk
Casual worker agreement
A Zero Hours contract between the agency and the staff member.
Staff profile
Your clients will ask for the staff profile document for every staff member you supply. This is a CQC recommendation for your clients. You might not get contracts if you don’t have this in place.
Compliment slip
This is a small flyer with the company details on it. It is usually added to letters, to prove the authenticity of the letter or for marketing purposes. We will design, print and post 250 copies.
Logo design and branding
99.99% of times the clients send us some horrific logo attempts. It is unbelievable! They break all the design rules, yet, they think their logo is amazing! This is absolutely normal and to be expected due to the lack of design and branding knowledge. We are here to correct those errors. We will design a beautiful and APPROPRIATE logo for your business. Don’t forget that your logo must be added on anything: websites, documents of various colours, uniforms, banners, business cards, flyers etc. It includes:
– logo design
– colour theme selection
– social media and website icon
– a light version for dark backgrounds, if needed
– we will send you the original editable file so you can make changes later if needed
– we will supply the colour codes we used – each colour has a unique code, so if in the future you are designing more stuff, your unique brand colours are used
Listed on our website
We will advertise your business for free. Clients and staff can find you on the map or by entering their post code.
App
You can have an app for Android and Apple mobile phones and tablets. We offer the software and mobile app via our own platform: www.recpal.co.uk
As it says on the tin, this will automate so much of your work! Some of the functionalities are listed on the website but we organise a separate demo meeting with the clients to show them how the app works. The app comes together with the Staff Management software. With the App and the Staff Management software you can manage your whole business, from recruiting, invoicing, pay roll etc. Full training is provided.
Virtual Landline
Cheap but mega professional. Your clients will never know that they are actually ringing your mobile not a landline. Specifications described on the website.
Website Maintenance
We build the websites so they auto update themselves, however, things can go wrong during these updates. You may face design or functionality problems. The design will be broken or you will no longer receive enquiries as the contact form on the website is not working, just a few examples. If this is happening to you and you need our help, we will have to charge you every time. If you have the maintenance service, we will service your website for free, no questions asked. Please bear in mind, this is a maintenance service, not a website upgrade service. If you want to upgrade your website, for example add a Blog section, we will have to charge you.
Marketing
We will take over your social media accounts and try to increase the number of followers, engagement and business awareness. We will answer the messages on your behalf, create relevant posts and post regularly.
Embroidery
We can embroider your logo on your uniforms. Why embroidery and not press? Our polyester thread is super resistant to wash, even at high temperatures. Your uniform will be damaged before the logo we applied on it. Ink obviously fades away a lot faster. We will give you the link to our other website, dedicated for healthcare uniforms and embroidery, where you can place orders. In the price we included:
- The uniforms
- Free digitising of your logo (other companies charge for this). Your logo has to be transformed in a file format that is recognised by embroidery machines. It requires special skills and very few people can do this.
- The logo application (embroidery)
- Advice on location, colour of the thread etc
- Packing and posting
